Privacy Policy

The MedEdPrep EMS Study Assistant ("the Service") at chat.mededprep.tech is operated by MedEdPrep, LLC, a Georgia limited liability company ("MedEdPrep," "we," "us," or "our"). This Privacy Policy explains what we collect, why, and what choices you have.
The short version: We do not collect your name, and you do not create an account. We record usage anonymously using an app-generated session ID and the role you select. We do store the questions you ask, the answers the Service generates, the quiz topics you request, and any feedback you give — so we can operate, cache, and improve the tool. We never sell your data. Please do not type your name, anyone's personal details, or patient information into the Service.
1. Information We Collect
The Service is designed to run with as little personal information as possible. We collect:
- Anonymous session ID. A random identifier generated in your browser and stored in your browser's local storage. It lets us group activity from the same device without knowing who you are. It is not linked to your name, email, or any account.
- Self-declared role. The general role you pick when you enter (e.g., "EMT student," "Instructor / Educator"). It is not verified and is used only to understand how the tool is used.
- Your questions and the Service's answers. The text of the questions you ask in chat, the topics you request for quizzes, and the answers and citations the Service generates. These are saved in our own server logs (on our server) and associated with your anonymous session ID. Separately, to produce an answer, your question text is sent to our AI provider (see Section 4) — that is a different step from our logging.
- Feedback. Thumbs-up/thumbs-down ratings and any optional comment you submit on an answer.
- Basic technical data. Your browser/device type and timestamps of activity, used for compatibility and to understand usage.
About your IP address
Your IP address is used only transiently to enforce rate limits and protect the Service from abuse. It is not written to our logs or stored.
2. Information We Do NOT Collect
- Your name or contact information. We do not ask for it and there is no account.
- Payment information. The Service is free; we collect no financial information.
- Stored IP addresses. As noted above, IPs are used transiently and never stored.
- Precise geolocation. We do not access GPS or fine-grained location.
- Tracking across other sites. We do not use advertising cookies, tracking pixels, or third-party analytics.
Important — free-text fields. The text you type is handled in two separate ways: it is (a) saved in our own server logs to power caching and improve the tool, and (b) sent to our AI provider, Anthropic, to generate the answer. For both reasons, please do not enter your name, other people's personal details, student identifiers, or any patient information (PHI). Treat everything you type as if it may be retained. See Sections 4 and 6.
3. How We Use Your Information
- Provide the Service: Answer your questions with cited sources and generate quiz questions.
- Cache responses: We save generated answers (and quiz results for repeated topics) so that common questions return instantly and at no additional cost. Cached content is keyed to the question and study level — not to you — and may be reused to answer the same question for any user. (This is why you should never include personal information in a question.)
- Improve the tool: Review questions, answers, and feedback in aggregate to fix gaps, improve accuracy, and prioritize content.
- Usage analytics: Produce an internal, owner-only dashboard of anonymous metrics (message counts, unique sessions, cache hit rate, activity by role and study level, top questions, feedback). This is derived entirely from anonymous session IDs and self-declared roles — no names or IPs.
- Security: Detect and prevent abuse and enforce rate limits.
We do not use your data to build advertising profiles, and we do not sell, rent, or trade it.
4. How We Share Your Information
We share information only in these limited circumstances:
- AI provider (Anthropic). The Service uses Anthropic's Claude API to generate answers and quiz questions. The text of your question or quiz topic is sent to Anthropic for processing. Under Anthropic's current API terms, prompt data may be retained by Anthropic for a limited period (up to 30 days) for safety and abuse monitoring, and API data is not used to train their models.
- Hosting. The Service runs on secure cloud infrastructure in the United States. Our hosting provider processes data on our behalf.
- When required by law. We may disclose information if required by valid legal process such as a subpoena or court order.
- In aggregated or de-identified form. We may share aggregate, non-identifiable usage statistics (e.g., most common topics) that cannot be used to identify any individual.
We do not sell your personal information.
5. Data Security
We protect the Service with appropriate technical safeguards, including encryption in transit (TLS/HTTPS) and access controls on the server. Usage logs are stored server-side and contain no names or IP addresses. The owner dashboard is password-protected. No system is perfectly secure; we cannot guarantee absolute security. If we confirm a security breach affecting personal information, we will provide notice as required by applicable law.
6. HIPAA and Patient Information
The Service is an educational tool, not a healthcare platform. It is not a HIPAA covered entity or business associate, and no Business Associate Agreement is in place. Do not enter Protected Health Information (PHI) or any patient-identifying information into any field. If you believe PHI has been entered, contact us at support@mededprep.com for removal.
7. Data Retention
Because usage is anonymous, the questions, answers, quiz topics, and feedback we store are not tied to your identity. We retain this data while the Service operates, to run the cache and improve the tool, and may retain aggregated, de-identified statistics indefinitely.
You can reset your anonymous session ID at any time by clearing your browser's local storage for the site (this severs the link between past and future activity on your device). If you would like us to remove a specific exchange and can help us identify it (for example, by its approximate text and time), contact support@mededprep.com and we will make reasonable efforts to do so.
8. Cookies and Local Storage
The Service uses your browser's local storage to hold your anonymous session ID and your selected role. We do not use advertising or cross-site tracking cookies. (A password cookie is used only for the separate, owner-only admin dashboard — not for regular users.)
Do Not Track: Because we do not track users across third-party sites, there is no cross-site tracking to disable, and we do not respond to Do Not Track signals.
9. Children's Privacy
The Service is intended for EMS students, instructors, and professionals aged 16 and older. It is not directed to children, and we do not knowingly collect personal information from anyone under 13. If you believe a child has provided personal information, contact us at support@mededprep.com.
10. Changes to This Policy
We may update this Privacy Policy from time to time. When we make changes, we will update the "Last Updated" date above and, for material changes, provide additional notice within the Service. Continued use after a change constitutes acceptance of the updated policy.
11. Governing Law
This Privacy Policy is governed by the laws of the State of Georgia, United States, without regard to conflict of law principles. Nothing here limits your rights under applicable mandatory data protection laws in your jurisdiction.
